Personal Assistant
Liverpool
Full-time temporary contract
£15 per hour
The purpose of the role is to provide dedicated support for the MHCLG appointed Commissioners and other relevant PA/Admin duties as required and directed subject to the needs of the council and the Commissioners.
Main areas of responsibility:
* To act as the first point of contact to maintain realistic and manageable diaries and appointments ensuring that appropriate control and access to the commissioner team’s time and diary is provided, assisting them in making best use of their time.
* To be the first point of contact to receive, sort and prioritise mail and emails, and in consultation with the DCoS, redirecting as appropriate and responding to all routine correspondence without direction. To escalate correspondence where necessary ensuring that all correspondence is responded to appropriately and in a timely manner.
* To treat all correspondence with discretion and where appropriate in line with statutory considerations such as data protection and the whistleblowing code.
* To support meetings by attending and taking a note of actions as required ensuring all aspects of the meetings/conferences are organised, agendas developed if necessary and action points distributed with prompt action taken maintaining timely responses to deadlines at all times.
* To liaise with members of the public and elected Members on behalf of the Commissioner Team ensuring that responses to actions from the Commissioner Team are completed within the expected timeframe.
* To maintain filing systems as directed with minimal supervision.
* To receive, check rigorously and confer with the DCoS/CoS all expenses submitted by the Commissioner Team and once approved by the DCoS/CoS to pass for payment.
* To liaise appropriately ensuring that all formal documents relating to the Intervention and commissioner updates to the Secretary of State are placed on the commissioner webpage hosted prominently on the Council website.
* Demonstrate awareness/understanding of equal opportunities and other people’s behavioural, physical, social and welfare needs.
Requirements:
* You will need to have experience of working as a Personal Assistant, Executive Assistant or diary manager at a senior level in order to be considered for this position. The successful candidate will have strong interpersonal skills, be confident in their approach and demonstrate high levels of attention to detail. The role will require flexibility and use of initiative to provide a key support function to the team, often within tight timescales, in a fast-paced environment.
* The ideal candidate will come from a Personal Assistant, diary management, or similar background and will have a proven track record of providing high quality support to a senior person and/or team. Strong written and verbal communication skills with an ability to gain credibility at all levels are essential. Well-developed ICT skills and an understanding of and ability to maintain high-levels of confidentiality will be vital to the role.
